A wedding planning spreadsheet is the document where every task has an owner, a deadline and a price. That is all. It is not a wish list and it is not a separate budget. It is the single place everyone looks when a question comes up, and its value comes precisely from being the only one.
Couples who plan without one do not fail through lack of effort. They fail because the information ends up living in seven places at once: messages, emails, phone calls, screenshots and the memory of two tired people.
The columns it holds, and why each one
A useful spreadsheet has few columns, and it has the ones that answer real questions. This is the structure that survives to the wedding day.
- Category. Venue, religious ceremony, civil formalities, catering, photography, video, music, flowers, decor, stationery, outfits, transport, accommodation, cake. The category exists so you can filter quickly, not so the sheet looks organised.
- What exactly. The concrete description. „Floral arrangements for the eight round tables” says something. „Flowers” says nothing and turns into three quotes you cannot compare.
- Supplier and contact person. Name, phone, email. Not the company name, but the person who answers the phone on a Saturday.
- Owner on your side. Who follows this item. One name. Two names means none.
- Deadline. The date by which it must be decided or ordered, not the wedding date.
- Status. To discuss, quote requested, quote received, confirmed, paid. Five states are enough.
- Estimated cost and confirmed cost. Two separate columns. The difference between them, added up, is the budget you did not plan.
- Deposit and balance. With the date each is paid. Deposits cluster into a single month if you do not track them.
- Notes. Everything that fits nowhere else and saves the day: dietary restrictions, access hours for setup, the fact that the photographer leaves at a certain time.
The column almost everyone forgets
What happens if this supplier cannot come. Not for every row, only for the ones without which the wedding does not happen: the venue, the food, the music, the photographer. One alternative noted in advance is worth more than ten perfectly completed rows.
How it splits into stages
The columns tell you who and how much. The stages tell you when. A good sheet has both, usually as separate tabs in the same document.
The big decisions. Date, venue, guest count and budget frame. These four condition each other, and the rest of the sheet depends on them. Until they are fixed, any other order is premature.
The primary suppliers. The ones booked far in advance and without last-minute replacements: catering, photographer, music, decor. Here you request quotes, compare and sign.
The details. Stationery, outfits, arrangements, transport, accommodation for out-of-town guests, final lists. The stage with the most rows and the smallest stake per row.
Confirmations. The final weeks. Nothing new is added, everything existing is confirmed. Final guest count, access hours, remaining payments, the run sheet for the day.
The wedding day. The sheet becomes an hour-by-hour run sheet, with a name against each moment. You should not be on that list. If the couple is coordinating suppliers on the day, something was not prepared in time.
How you use it with suppliers
The full sheet stays with you. Suppliers receive only the part that concerns them, and in the final week they receive the run sheet with the hours that affect them directly.
The reason is practical. A supplier who sees the whole wedding budget adjusts their quote. A supplier who receives the exact hour they arrive, the entrance they use and the person who meets them does their job without calling anyone.
One thing is worth sending to everyone: the list of who is who on the day. The photographer needs to know who to ask if they cannot find you, and the band needs to know who gives the signal for the first dance.
What format to keep it in
Any shared online spreadsheet works, on two conditions: it opens on a phone, and it keeps a revision history. Both matter on a day when someone changes an hour by mistake.
Dedicated wedding planning apps are useful if their structure suits you. They become an obstacle the moment you need a column they do not allow. A simple document you control completely ages better.
The printed version has one legitimate role: the run sheet for the day, on paper, in the pocket of whoever is coordinating. Batteries die exactly when they should not.
The mistakes that repeat
Too many columns. A sheet with twenty-three columns stops being filled in after the third week.
Estimates recorded as confirmed costs. The difference looks small on each row and becomes considerable in total.
Deadlines set to the wedding date. A deadline that coincides with the event is not a deadline, it is a hope.
Owners in the plural. When two people are responsible for the same thing, both assume the other is handling it.
And the most frequent: the sheet built once and not opened for a month. A document that is not updated becomes more dangerous than not having one, because people make decisions on old information.
When someone else takes it over
A well-kept sheet is exactly what you hand to a coordinator if you decide, at some point, that you no longer want to carry this alone. The more complete it is, the less the handover costs and the less time it takes.
